From Re-keyed Tuition to Daily Student-System-to-Finance Automation

How a higher-education group connected student records, finance, procurement controls, and reporting on NetSuite.

The Situation

A higher-education group ran a parent university and an affiliated college of medicine as two separate legal entities on a shared campus. Multiple undergraduate and graduate colleges. A medical school. An outreach clinic. A dormitory, a bookstore, and a leased cafeteria. Staff worked across both entities under a shared academic calendar, but the legal structure required two ledgers and a clean separation of payroll between them.

The Obstacle

The student information system worked. The accounting system worked. The bridge between them did not. With the student information system and accounting running on separate platforms and the link between them handled by manual re-keying, there was no reliable, timely connection between student activity and the general ledger. The group couldn't close the books quickly or trace student transactions to finance with confidence.

Tuition, scholarships, and payments from the SIS were manually re-keyed into accounting. This manual process slowed month-end and obscured the financial audit trail.

Fragmented Master Data

Beneath the system disconnect, master data was heavily fragmented across both entities. Critical files for vendors, customers, items, and employees sat in isolation.

Lacking Control & Visibility

Procurement controls relied on convention, while fixed assets were tracked externally. Leadership lacked consolidated dashboards and standardized statutory reporting.

The Solution

NetSuite ERP was deployed across both subsidiaries, alongside a custom EdRP integration layer (SuiteScript + File Cabinet) to bridge the SIS into NetSuite. The delivery plan moved meticulously from kickoff, BPM & walkthroughs, and BRD sign-off, through configuration, build, UAT, go-live, and hyper-care.

NetSuite ERP went live across both legal entities with unified master data. We implemented ~37 education-specific custom fields across student forms, journal entries, bills, and purchase orders.

The integration design did the heavy lifting. By treating SIS-to-NetSuite as a first-class pipeline with a daily cadence, structured folders, and an Error Catcher record, the team turned the most fragile part of the architecture into the most reliable. From role-based dashboards to ~37 custom fields spanning student and financial records, every requirement was met, delivering a successful UAT sign-off, comprehensive training, and post-go-live hyper-care on plan.
