A regional non-profit association ran on the contributions of its members and donors. Recurring membership renewals. Campaign-based fundraising. A mission that depended entirely on the strength of its donor and member relationships. But the back office that supported all of it was built on spreadsheets and disconnected legacy tools, never designed for an organization whose lifeblood is relationships.

With donor management, membership tracking, procurement, and accounting all running on separate, manual processes, there was no single source of truth for the relationships and finances the organization depended on. Renewals slipped, procurement controls rested on convention, and the close cycle could not keep pace with what a regulated non-profit needs.

Donor history, renewals, and accounting were trapped in disconnected files. Manual tracking made it impossible to reliably distinguish active members from inactive ones.

Without dashboards or email tooling, donor segmentation barely existed. This fragmentation completely prevented the organization from triggering critical renewal reminders on time.

Manual Financial Controls

Purchase orders lacked system-enforced approvals, while month-end consolidation occurred manually outside a unified system. Withholding tax and payee reporting lacked standardized workflows.

The Solution

Softype deployed a purpose-fit Oracle NetSuite Social Impact (Financials First) implementation. Rather than a generic ERP rollout, the phased delivery plan—spanning kickoff, BPM sessions, BRD sign-off, build, UAT, and hyper-care—was designed specifically for a relationship-driven non-profit.

We treated the donor lifecycle as a first-class CRM workstream. We executed six BPM sessions and locked the design through a signed BRD. NetSuite Social Impact CRM was configured for Donors, Members, and Subscribers with an automated status change workflow.
